One of our large Sectional Title Property Management clients based in Arcadia, is urgently seeking a Sectional Title Portfolio Assistant to start immediately or ASAP. MUST HAVE SECTIONAL TITLING EXPERIENCE! Requirements: Registration Bilingual (Afrikaans and English, read, write, speak) Experience in sectional titles Driver’s license and own transport required Must know Pastel or VIP Payroll Duties will include, but not be limited to: SURE Obtaining quotes for insurance placement MEETINGS Timely sending of calls and minutes of assemblies. Telephone confirmation of meetings with the client at least 2 days before the meeting. Attendance of Trustee, Directors, Budgets and meetings requested by the Manager when required. FOLLOW-UP TO THE MEETINGS Request quotes assigned by Portfolio Manager and follow up until completion. Execution of minor assignments as requested by the Portfolio Manager. Check with the portfolio manager for timely acquisition of final minutes and other documentation resulting from distribution meetings to owners or trustees. Get minutes of notebooks ready to stick minutes and relevant documents. Submit lien letters and schedules. LOCAL AUTHORITY Personal liaison with the City Council for dues arrangements or classification of City Council accounts as assigned from time to time by the Portfolio Manager. (Only in cases where the Portfolio Manager is not available and/or an alternative arrangement has been made with the Manager). AUDIT Request quotes from various Auditors as requested by the Portfolio Manager from time to time. FINANCIAL STATEMENTS, RULES OF CONDUCT, ETC. Sending financial statements, rules of conduct, etc. to lawyers and other organizations that are requested at any time. Familiarize yourself with the duties of the credit controllers as well as the portfolio manager for assistance in the absence of such staff. Total control of the collection of fees from credit controllers before meetings and after meetings: monitoring of assignments. GENERAL Obtain approval of bill payments from the Trustees and maintain a record of payments. Send proof of payment. Typing and mailing. Updating of building information. Collection of quotes. Write and review petty cash claims. Compile tax reports for Portfolio Manager. Sending documents by email, postal mail as required by the Portfolio Manager. Diaries should be sent to management on a regular basis. The cost recovery list must be updated daily, it is sent to management on the last day of the month for processing. Sending end-of-month letters. Any additional allocation requested by the Principal Portfolio Manager.
