Administrative Officer – Human Resources The Geosciences Council Job Title: Administrative Officer – Human Resources Position Status: Permanent Peromnes grade: P11 (R 406 452.43 CTC per year) Location: Head Office (Pretoria) Reporting Line: Human Resources Business Partners General Job Purpose: The incumbent is responsible for providing HR administrative services. KEY RESPONSIBILITIES Appointment Management Help with all onboarding administration: Explain the appointment documents. Ensures that all appointment documents are filled out accurately. Opening and maintenance of employee personnel files. Liaise with all relevant business units regarding logistics for new hires e.g. office, computer, access card, etc. Administration of transfers, promotions, performances, reductions and terminations. Collaborates in the drafting of employment contracts and extensions. Record and track the movement of personnel files. Maintains human resources databases and records. Administration of payroll Collates appointment documents, compiles appointment notice for new hires, and submits to Payroll for further processing. Ensures timesheets are submitted to HR and Payroll on time. Collates Payroll entries and sends them to Payroll for salary processing. Respond to payroll-related queries. Medical Assistance and Benefits Administration Coordination and Administration of Medical Assistance, that is, new employee, change of plans, discharges, discharges of dependent employees, etc. Facilitates presentations and roadshows for medical aid and pension funds. Facilitates medical membership verification at specified intervals. Coordination and administration of pension/provision, funeral benefits, etc. Assists with the processing and tracking of death and funeral claims. Distribution of benefit statements to all members annually. Service Injury Management Coordination and Administration of Compensation Claims for Occupational Injuries and Illnesses (COID). Help with the filing of applications for injuries on the job (IOD). Liaise with the Workers’ Compensation Commissioner (WCC) on payments and claims. Leave Administration Create and unlock users in the Employee Self Service (ESS) system. Reset ESS passwords. Update reports on the ESS. General Administration Drafting of correspondence. Provides human resources statistical data for reporting. Perform any other ad-hoc functions. People Management (Learning and Development) Compile and submit your own Personal Development Plan. Participate in training courses, workshops, etc. relevant. KEY PERSONAL ATTRIBUTES: Ability to exercise discretion in dealing with confidential or sensitive matters. Confident and able to work on own initiative with limited supervision. Excellent verbal and written communication. Team work and collaboration. Skills for problem solving and report writing. Good phone etiquette. Attention to details. QUALIFICATIONS AND EXPERIENCE: matrix and National Diploma in HR Management or equivalent degree 3 to 5 years of experience in HR or related areas. Experience and understanding of human resource management and general office management and support practices. You must have computer skills in MS Office.
